How to Calculate Work Hours With Unpaid Breaks
Knowing how many hours you worked starts with three details: your start time, your end time, and any unpaid breaks.
The basic formula is:
Work hours = elapsed shift time − unpaid breaks
For example, working from 9:00 AM to 5:00 PM gives you an eight-hour shift. Subtract a 30-minute unpaid break, and your work time is 7 hours and 30 minutes, or 7.50 decimal hours.
You can check your own schedule with the free HandyMetric Time Card Calculator.
1. Find the elapsed time between your start and end times
First, calculate the full length of the shift before deducting breaks.
If you start at 8:15 AM and finish at 4:45 PM, the elapsed time is:
4:45 PM − 8:15 AM = 8 hours 30 minutes
Using a 24-hour clock can make the subtraction easier:
16:45 − 08:15 = 8 hours 30 minutes
At this stage, include the entire shift. You will deduct unpaid breaks next.
2. Subtract only the unpaid breaks
Add together the break minutes that should be excluded from your work time, then subtract them from the elapsed shift.
For an eight-hour-and-30-minute shift with a 45-minute unpaid break:
8 hours 30 minutes − 45 minutes = 7 hours 45 minutes
Do not automatically deduct every break. Paid breaks remain part of the time counted in this calculation. Whether a particular break can legally be unpaid depends on the applicable rules and the circumstances of the break.
If you are unsure how a break should be recorded, check your employer’s timekeeping policy and the relevant labor requirements.
3. Convert the result into decimal hours
Hours and minutes use a different format from decimal hours.
To convert minutes into a decimal, divide them by 60:
Decimal hours = whole hours + minutes ÷ 60
For 7 hours and 45 minutes:
7 + 45 ÷ 60 = 7.75 hours
Here are some common conversions:
| Hours and minutes | Decimal hours |
|---|---|
| 7 hours 15 minutes | 7.25 |
| 7 hours 30 minutes | 7.50 |
| 7 hours 45 minutes | 7.75 |
| 8 hours 6 minutes | 8.10 |
| 8 hours 12 minutes | 8.20 |
7 hours 30 minutes is not 7.30 decimal hours. A decimal value of 7.30 hours equals 7 hours and 18 minutes.
Keep the original minutes when adding several shifts. Round the final decimal display only after calculating the total.
How to calculate an overnight shift
When a shift crosses midnight, count the time before midnight and the time after midnight, then add them together.
Suppose you work from 10:00 PM to 6:00 AM, with a 30-minute unpaid break:
- 10:00 PM to midnight: 2 hours
- Midnight to 6:00 AM: 6 hours
- Total elapsed shift: 8 hours
- After the unpaid break: 7 hours 30 minutes
In the HandyMetric calculator, enter 2200 as the start time and 0600 as the end time. The tool interprets an end time earlier than the start time as a shift ending the next day.
This clock-time method does not account for daylight saving changes. If your shift crosses a clock change, verify the actual elapsed time separately.
How to add your weekly work hours
Calculate each shift after unpaid breaks, then add the results.
For example:
| Day | Shift | Unpaid break | Work time |
|---|---|---|---|
| Monday | 9:00 AM–5:00 PM | 30 minutes | 7h 30m |
| Tuesday | 9:00 AM–5:00 PM | 30 minutes | 7h 30m |
| Wednesday | 9:00 AM–5:00 PM | 30 minutes | 7h 30m |
| Thursday | 9:00 AM–5:00 PM | 30 minutes | 7h 30m |
| Friday | 9:00 AM–5:00 PM | 30 minutes | 7h 30m |
| Total | 2h 30m | 37h 30m |
The weekly result is 37.50 decimal hours.
Use the workweek defined for your records. If an overnight shift crosses a workweek boundary, its hours may need to be allocated between weeks. The HandyMetric calculator does not perform that allocation automatically.
Common mistakes to avoid
- Entering 5:00 instead of 17:00. In a 24-hour field, 05:00 means 5:00 AM. Use 17:00 for 5:00 PM.
- Treating minutes as decimals. Thirty minutes equals 0.50 hours, not 0.30.
- Deducting paid breaks. Only enter breaks that should be excluded from the work-time total.
- Using identical start and end times for a full-day shift. HandyMetric treats identical times as zero hours, not 24 hours.
- Assuming hours above 40 automatically determine overtime pay. Eligibility, rates, exemptions, and state-specific requirements need a separate check.
Frequently asked questions
How many hours is 9 to 5 with a 30-minute unpaid break?
A shift from 9:00 AM to 5:00 PM lasts eight hours. After subtracting 30 unpaid minutes, the result is 7 hours 30 minutes, or 7.50 hours.
How do I subtract more than one unpaid break?
Add the unpaid break minutes together first. A 30-minute unpaid meal break and a separate 15-minute unpaid break total 45 minutes, provided both should be excluded from work time.
Can I use the calculator for split shifts?
The current HandyMetric calculator supports one continuous shift per day. It does not combine multiple shifts on the same day.
Does calculating work hours also calculate my paycheck?
No. A work-hour total does not account for pay rates, taxes, deductions, or all overtime requirements. Those calculations require additional information.
